Haus Edelweiss Office Manager

This person in this position reports to the TCM Vice President of International Operations in pertinent areas of responsibility at Haus Edelweiss.  This is a full-time, 12-month residence position in Heiligenkreuz, Austria. These are the primary areas of responsibilities.  Other tasks will arise in the process of ministry. 

Help set the “tone” at Haus Edelweiss through:

  • Establishing an atmosphere of harmony and goodwill with those working, studying, and living at Haus Edelweiss
  • Establishing an atmosphere of harmony and goodwill as a representative of TCM
  • Modeling a Christian attitude by working alongside others in harmony
  • Greeting cheerfully all who enter the office and offering/aiding them
  • Presenting the TCM mission and goals in order to build and reinforce TCM’s prayer and financial support

Financial Responsibilities for Haus Edelweiss and TCMI Institute – 50%

  • Manage and maintain all daily/weekly/monthly/yearly bookkeeping records in conjunction with the Vice President of International Operations, including:
    • All expenditures and income
    • The U.S. to Europe transfer schedules (online) and transfers
    • The computer accounting system/records
    • The cash proof sheet
    • Billing and reimbursements
    • Distributing cash advances
    • Electronically distributing monthly staff invoices and staff food allowances
  • Provide requested information to the Vice President of International Operations and TCM’s Director of Finance for the annual Haus Edelweiss budget
  • Create fiscal year budget for all Haus Edelweiss and European operations
  • Disburse funds to Regional Representatives where and when applicable (online as possible)
  • Administer recording of student fees in their student portals through the Student Management System
  • Collect/record student fee payments
  • Complete other bookkeeping and banking tasks as needed or assigned

Logistics – 20%

  • Coordinate and assign all Haus Edelweiss transportation duties
  • Assist in coordinating travel arrangements for faculty and adjunct faculty traveling in-country to teach
  • Organize Sunday worship service during Sessions
  • Assist with the Guest Lecturer program and Saturday evening events as needed
  • Organize the prayer and praise meetings for staff and volunteers during a Session

Staff/Institute – 20%

  • Assist in scheduling/preparing staff business meetings
  • Supervise the LTW assigned to serve in the office and any staff family members (who are not TCM staff) working in the office
  • Coordinate rotation schedules for the final Thursday dinner at an Austrian restaurant
  • Coordinate rotation schedules for church participation for all stay-over guests between sessions
  • Assist in coordinating graduation weekend events (monastery and on-campus events)
  • Prepare and submit Meldung papers for guests (LTWs, STWs, professors, translators, students, and guest lecturers) within the required time frame
  • Provide information on service to TCM, food, housing, and transportation to worship for each guest who stays between sessions

Other Haus Edelweiss Responsibilities – 10%

  • Assist with document creation and updating, filing, emailing, scanning, projects, office maintenance, etc., including answering the primary office telephone when working in the office and forwarding it to the appropriate campus locations during evenings and weekends
  • Work cooperatively with the Facilities Services Coordinator in ordering heating oil, propane, wood pellets, etc.
  • Assist with development activities as directed on campus and in the United States during annual return trips
  • Help with other duties as assigned (e.g., local transportation runs, outings, errands, special assignments, etc.)

Haus Edelweiss Guest Services Assistant

The Guest Services Assistant at Haus Edelweiss is responsible first to the Coordinator of Guest Services for TCM International Institute (TCMII) and then to the Vice President of International Operations in pertinent areas of responsibility at Haus Edelweiss. The Coordinator of Guest Services will provide direct and regular oversight of this position. Other tasks will arise in the ministry process. These are the primary areas of responsibility.

Main Roles

  • Assist the Coordinator of Guest Services:
    • Assist the Coordinator of Guest Services in day-to-day operations
    • In case the Coordinator of Guest Services is absent (due to illness or other emergencies), Assistant Coordinator of Guest Services will oversee the handling of Guest Services, the guests, and the volunteers; as well as oversee other responsibilities assigned to the Coordinator of Guest Services for that day
  • Special Projects Coordinator:
    • Overseeing Guest Services’ special projects, including such tasks as carpet cleaning, new furnishings, decorations, restocking supplies and inventory, miscellaneous laundry, organization, painting, etc.
    • Coordinate special projects with Facilities Services when necessary

Students/Guests at Haus Edelweiß

  • Assist with the provision of a clean, comfortable, and fresh place for invited students/guests to relax, rest, and renew their bodies, minds, and spirits
  • Greet invited students/guests and assign rooms to them upon their arrival
  • Assist with the cleaning service for all guest rooms/apartments, common areas, and bathrooms for students, professors, and volunteers, including fixtures, furnishings, windows, balconies, porches, etc.
  • Assist with the coordination of laundry service for all rooms/apartments and common areas, including bedding, linens, towels, window treatment, etc.
  • Assist with recycling distribution and trash removal
  • Distribute small gifts or treats and prayer cards to students/guests
  • Distribute benevolence items (e.g., used clothing, medicine, Christian literature, supplies, etc.) to students and guests

Short-term Workers and Long-term Workers (STWs and LTWs) at Haus Edelweiß

  • Help coordinate and instruct Short-term workers (STWs) and Long-term workers (LTWs) working on special projects
  • Help orient STWs and LTWs assigned to serve in Guest Services
  • Help supervise STWs and LTWs daily service and ministry
  • Work alongside Guest Service STWs and LTWs
  • Build positive relationships with STWs and LTWs

Serve in Stewardship at Haus Edelweiß

  • Help purchase necessary items for special projects at Haus Edelweiss; confirm with Coordinator of Guest Services before making big purchases
  • Assist with the purchase and maintain inventory and supplies as needed for the Guest Services area
  • Keep cleaning closets and supplies well stocked and organized
  • Inform the Coordinator of Guest Services or Facilities Services Coordinator of any repairs needed

Non-Session at Haus Edelweiß

  • Assist with winterization of guest rooms, apartments, and common areas for the winter season and prepare the same locations for the coming school year
  • Help coordinate with the Coordinator of Guest Services and the Vice President of International Operations any needed changes or improvements in the buildings or rooms
  • Host STW and professor outings as assigned
  • Provide transportation for staff and guest pick-ups and deliveries as assigned
  • Assist in other areas of service and ministry as assigned

Main Dining Rooms at Haus Edelweiß

  • Help organize the serving of meals in the main dining rooms (this does not include meal or food preparation/cooking)
  • Help orient and supervise table hosts/hostesses and serve in that role as needed
  • Help organize the preparation of tables (set-ups) in the main dining rooms
  • Set up and organize classroom breaks
  • Set up STW and professor self-serve arrival and departure breakfasts

Digital Student Support Assistant

The Digital Student Support Assistant is a full-time position to provide comprehensive support to the Director of Information Technology, managing a diverse range of responsibilities related to technology, student services, and communication. This role is key to the success of student services at Haus Edelweiss events and requires a high level of organization and attention to detail. 

The person in this position will primarily support academic sessions and student services at Haus Edelweiss. The role is accountable to the Director of IT for technical standards and media/technology protocols, Registrar for student services and academic session support, and to the Vice President of International Operations for daily operational coordination.

Digital Technology & Instructional Support

  • Informational Technology: Provide daily operational support to the IT Director and maintain technical support for the campus community
  • Classroom Technology: Provide first-line, on-site classroom technology support for sessions, lectures, conferences, and other academic events at Haus Edelweiss, including setup, testing, operation, monitoring, and basic troubleshooting of streaming, recording, and audio/video systems
  • Translation Services: Manage the inventory, distribution, charging, battery rotation, storage, and on-site functionality of translation equipment, and support translation services during live academic events
  • Media Capture & Digital Asset Support: Capture and manage approved photo, video, and audio content for academic sessions, campus events, and institutional storytelling; organize, transfer, label, store, and hand off media files according to TCM procedures; and handle all media in accordance with approved consent/release, privacy, retention, and data-protection requirements

Academic Operations and Registrar Support

  • Session Management: Oversee classroom logistics, including room assignments, name tags, preparation and distribution of class physical handouts or professor orientation materials
  • Record Keeping: Manage the student attendance process and maintain accurate records in the Student Management System (SMS) and Session Guest Lists
  • Advising: Provide advising to students, assisting with technology and program overview

Community & Campus Logistics

  • Capacity Building: Proactively identify bottlenecks in student services and session class operations and implement efficiency improvements
  • Site Support: Facilitate community engagement at Haus Edelweiss and provide assigned transportation support for guests/students
  • Maintain an inventory of office supplies
  • Communication: Act as a liaison between students, volunteers, and guest speakers to ensure timely information flow
  • Technology: Provide automatization solutions as needed

Other Events and Other Responsibilities

  • Provide capacity and support during other non-session related events at Haus Edelweiss (such as graduation, conferences, etc.)
  • Other duties as assigned (e.g., translation, worship, etc.)
