Join our team as a Student Services Assistant at Haus Edelweiss in Austria!
The Student Services Assistant provides comprehensive support to the Registrar and the Student Services team, managing a diverse range of responsibilities related to student records, enrollment, academic advising, communication, and technology. This role requires a high level of organization, attention to detail, and the ability to multitask effectively.
The person in this position will be responsible and accountable to the Registrar for student services and academic operations. The person in this position will report to the Vice President of International Operations on daily operations.
This position includes a one-month trial period to ensure a good fit for both the candidate and TCM. This allows us to assess your skills and potential within the role, and for the applicant to experience the work environment firsthand.
I. Temporary Translation Coordination
Manage and administer translation processes for course materials and sessions.
Collaborate with regional representatives to develop a network of national translators.
Coordinate translations for Moodle and face-to-face sessions at Haus Edelweiss and other mentoring centers.
Maintain communication with translators and regional representatives.
Create, maintain, and update handbooks, forms, and manuals related to translation annually.
Assess and optimize translation processes.
II. Registrar’s Office
A. Enrollment and Records Management
Track student enrollments, withdrawals, and course cancellations. Assist in processing student auditing requests.
Manage reinstatement applications, post-decision back-office tasks, and advising for reinstated students.
Assist with data entry and management for admissions and registration processes.
Enroll students into courses on Moodle.
Maintain accurate and up-to-date student records.
Maintain accurate and up-to-date professor profiles.
B. Graduation Activities
Assist the registrar with graduation preparation communications and logistics, including posting diplomas and administering and collecting graduate surveys.
C. End-of-Year Reporting
Assist with end-of-year reporting and communication tasks for the Registrar's Office.
D. Student Advising and Support
Provide academic advising to students, assisting with course selection, program requirements, and academic challenges.
Student Services Support: Provide support to students regarding services provided, including email, SMS, and Moodle.
E. Communication and Outreach
Schedule Changes Updates: Communicate schedule changes and updates to students and faculty.
Alumni Engagement: Assist with alumni outreach and communication initiatives.
Assisting with Scholarship Initiatives and communications.
Website Translation and Updates: Coordinate website translation and updates, ensuring student services content is accurate and up to date.
F. Assessment and Evaluation
Course & Professor Evaluations: Administer and analyze course and professor evaluations.
Mentoring Center Evaluation: Coordinate evaluations of the mentoring center by professors, translators, students, and regional representatives.
III. Other Responsibilities
Increasing Capacity: Identify areas for improvement and implement strategies to increase efficiency and capacity for student services processes and support.
Haus Edelweiss Community Engagement: Participate in in-session activities and foster community engagement.
